Our client, a well-recognised not-for-profit organisation dedicated to enhancing community well-being through comprehensive mental health, alcohol and other drug, and therapeutic treatment programs. With a strong presence in the community services sector, they are committed to providing essential support and care to those in need across Victoria.

The primary focus of the Executive Assistant role is to provide first class executive support to the Chief Corporate Services Officer (CCSO) and other members of the Executive team.
  
Key responsibilities include:  
  • Calendar management for the CCSO, including prioritising and scheduling appointments.
  • Board and Committee administrative support, including co-ordinating, editing, and finalisation of Board and committee agendas & papers.
  • Seamless meeting and project support including scheduling meetings, minute taking, completing ad hoc tasks, and rigorously tracking action items.
  • Prioritising conflicting needs, handling matters expeditiously, proactively and following through tasks to successful completion, often with deadline pressures.
  • Working with discretion and ensuring sensitive and confidential information is appropriately managed and escalated to the relevant Executive. Including reciting, assessing, and directing incoming correspondence and phone calls.
  • Coordinating travel arrangements for the Corporate Services team.
  Essential Criteria:
  • Minimum 5 years experience in supporting Executives, preferably in a not for profit or community services organisation.
  • Bachelor level qualification in an area relevant to the role; or a minimum Diploma level qualification.
  • Outstanding spoken and written communication skills.
  • Sound judgement including an ability to identify key priorities, trouble shoot and meet deadlines.
  • High attention to detail and an ability to produce clear and accurate records of meetings.
  • Demonstrated ability in working with sensitive material and respect confidentiality.
  • Advanced ability working with Microsoft Office software packages.
  • Board and/ or committee experience
