Our client, a prominent membership-based organisation located in Melbourne’s CBD, is seeking a skilled Executive Assistant to provide top-tier support to the CEO and President. In this pivotal role, the Executive Assistant will offer high-level, confidential support, including managing diaries, coordinating meetings, preparing briefings, and organising travel arrangements. The position also involves overseeing key projects, managing the CEO's budget, and preparing Board reports.
The ideal candidate will have extensive experience supporting C-suite executives, managing sensitive information, and coordinating complex meetings. They will also supervise the Executive Support Officer, contribute to developing operational policies, and play an integral role in supporting the organisation's strategic plan.

- Providing high-level and executive support to the CEO and President, including diary management, travel arrangements and acting as the primary point of contact for general inquiries and confidential matters
- Provide support for meetings, including scheduling, preparing agendas, minute taking and managing action items
- Preparation of communications, reports and correspondence as required
- Developing and maintaining operational policies and procedures
- Financial planning and budgeting for the department
- Providing status reports to the Executive Team and Board including delivery, scope and budget updates
- Extensive experience supporting C-suite executives, with strong diary and email management skills
- Ability to coordinate high-level meetings, including agenda preparation, minute-taking, and action follow-ups
- Experience handling confidential and sensitive information with discretion
- Strong interpersonal, communication, time management, and planning skills
- Proficiency in Microsoft Office and project management, with the ability to work independently
- Experience in the education, healthcare sector, not-for-profit, or membership-based organisations is preferred, but candidates from other industries with senior leadership exposure are also welcome to apply
